The implementation of a Web based Customer Relationship Management(CRM) has enabled eDocuman India to integrate their widely distributed marketing efforts and operations. Now the company's offices in Chennai and Bangalore and marketing and projects staff located at other locations around South India are able to interact and co-ordinate their efforts more effectively.
eDocuman is the competency centre for PDF/A in India and specialize in electronic archiving of important paper records for long term preservation and easy access. The company has offices in Chennai and Bangalore and project and marketing staff located at many other location around the South India.
With the geographical spread of business, the company was finding it increasingly difficult to co-ordinate and manage the operations and marketing efforts. The market and client related information being gathered at different locations were being managed separately and was not being put to the best use for the company.
eDocuman maintains long term business relationship with many of their clients and get a large chunk of their business from repeat orders and ongoing service to the existing clients. Many of the clients also have offices in more than one location and were being handled independently at each location.
They did not have a big IT team and was not interested in investing heavily in building an IT infrastructure in house. Moreover the network at different locations were not connected together and many of the staff were always on the move. We realized that a web-based CRM solution accessible from anywhere was the best way forward. This will ensure that the solution is always available, accessible from anywhere and will not need any installation or configuration at the client side.
The obvious choice for such a deployment was SugarCRM . After a comparison of the cost and features the client decided to go for the community version released under GPL and is Open-Source. To reduce the TCO further, the CRM was deployed on our hosting servers and made available for the users of eDocuman to use over the Internet.
The complete deployment including installation and customization was done remotely and the only visit to the client's office was to orient and train the staff on using the CRM.
